Analytics for Wine Experiences

Analytics for Wine Experiences

One corporate tasting can be worth ten couples' evenings, yet both arrive as the same kind of request. Analytics sorts them by type, then shows which search, ad or referral produced each booked event, so you spend on the sources that bring the events you want to run.

For wine tasting hosts and sommeliers who want requests, deposits and gift vouchers traced to their source, with cost per booked event shown by event type.

Counting a booked tasting properly

Context from how your customers search, compare and book.

A date request is not a booked event. Between the first message and a glass in hand sit a quote, a deposit, a menu choice and a confirmed headcount. Tracking has to follow those steps, because many requests stop at the quote, and the source of a request says little about the source of a paid evening.

Event types differ sharply in value. A private tasting for six at a host's home, a corporate evening for forty, a hen party, a charity fundraiser and a gift voucher all earn different amounts and take different effort. We tag every request with its type so cost per booked event is shown separately for each one.

Buying takes time. A company may search in September for a December event, compare three hosts and book after a budget sign-off. We keep the first visit linked to the final deposit across that gap, as far as browsers allow, and we show a request's whole path in the report, not only its last click.

Some value never appears as a click. Guests at one tasting often book their own, a past host recommends you to a friend, and a voucher bought in November is redeemed in March. We add a heard-at-a-tasting code and a voucher redemption record, and we label what remains unknown.

How we deliver Analytics

A clear, repeatable process built around how wine experiences customers search and decide.

1

Define what a booking is

We agree the steps that matter: date request, quote sent, deposit paid, event held, voucher bought and voucher redeemed. You decide which carry value, and we give each an exact name so a deposit is never counted as a request.

Tag event types at the source

Your request form asks for occasion, group size, preferred date and location, so each lead arrives labelled as private, corporate, celebration, fundraiser or gift. We pass those labels into the report, and quick questions at the end of calls fill gaps.

Connect payments and calendar

We link your payment tool, voucher shop and scheduling calendar to website tracking, so a deposit or voucher ties back to the visit that began it. The path is tested with a small real payment before any report is trusted.

4

Capture word of mouth

We add a how-did-you-hear field, a code for guests at tastings and a short question during the first call. Past hosts are asked at confirmation who recommended you, so referral value is recorded rather than guessed.

Report by event type

Each month's report shows spend, requests, quotes, deposits and cost per booked event by type and source. We highlight what to test next, such as a corporate page or a gift campaign, and you keep every pricing choice.

Technical approach

The mechanics behind Analytics for wine experiences, explained plainly.

Long decision paths

Corporate buyers often visit several times over weeks. We use persistent but privacy-friendly tracking and respect consent settings, so the first search can be linked to a later deposit when allowed. When it is not, the report shows the visit as unknown.

Voucher tracking

A gift voucher is revenue today and an event later. We record the sale with its source, then record the redemption date and event type, so you can see both the immediate return and the later bookings that vouchers bring.

Honest limits

Private browsing, switching phones and recommendations over dinner all hide sources. We never push these into a channel to look neat. They are shown as direct or referred, and codes and questions are used to recover what can be recovered.

What to expect from analytics

Setup is a matter of weeks, though event bookings are few and valuable, so real patterns take months to show.

Days 1 to 14

We agree the booking steps and event types, set up form fields and connect payments, vouchers and calendar. We run a test request from each source and fix any step the report cannot see.

Weeks 3 to 8

First reports show requests by type and source, with quotes and deposits following. Numbers are small, so we describe them carefully and avoid big decisions from a handful of events.

Months 3 to 6 and beyond

Corporate planning windows and holiday gifting peaks show how long your decision cycles are. We shift spend toward sources that bring paid events. Seasons vary and we do not promise a booking count.

Frequently Asked Questions

What should a wine experience business track? expand_more
Date requests, quotes, deposits, events held, vouchers sold and vouchers redeemed, each by event type and source. Revenue per event matters more than raw request counts. We agree the list with you before setting anything up.
Why separate corporate and private wine events? expand_more
They have different values, lead times and sources. A report that mixes them can make a weak channel look strong. Separate lines show where each kind of wine experience booking really comes from.
Can you track wine gift vouchers? expand_more
Yes. We record each sale with its source and the later redemption, including the event type chosen. Redemptions can take months, so the report shows both what vouchers brought in now and what they led to later.
How do you capture referrals for wine tastings? expand_more
With a how-did-you-hear field, a code handed out at tastings and a question at confirmation. It will not catch everything, but it brings guest-to-host bookings out of the shadows. The rest is shown as unknown.
We only get a few wine bookings a month. Is analytics worth it? expand_more
Yes, if we read it carefully. With few, valuable events, one wasted ad budget is easy to spot, and one good source stands out. We avoid conclusions from tiny samples and say when data is too thin.
Do you need our customers' details? expand_more
Not by name. Reports use counts, types, sources and amounts. Where you hold personal data in your payment or scheduling tools, it stays there, and we follow consent settings and local privacy rules for any wine tasting lead data we touch.
What does the monthly report look like? expand_more
A short document with spend, requests, quotes, deposits and cost per booked event by type, plus notes on seasons and referrals. It lists what we changed and what to try next. Estimated figures are marked as estimates.
