Ask most mattress cleaning owners how marketing is going and they’ll point straight at the phone: it hasn’t stopped ringing. That’s not automatically good news. A phone that rings all day can just as easily mean forty people checking prices who were never going to book, as forty vans’ worth of real work.
Here’s what that actually looks like on the ground. Someone calls about a stained mattress after a house move, your office manager quotes a price, and that’s the last you hear from them. A letting agent messages your Google Business Profile at nine at night asking about an end-of-tenancy deep clean, and nobody replies because the message got buried under five others that week. A customer books a Tuesday slot for an allergy clean, then cancels an hour before the van leaves, and that slot sits empty for the rest of the day. None of that shows up as a missed call or a dropped enquiry. It just shows up, eventually, as a diary that’s thinner than it should be given how much enquiry you’re actually getting. Spend more on Google Ads or rebuild the website and you can make the phone ring louder. You can’t make it tell you which calls were ever worth answering.
The fix isn’t “track your leads” as a general idea. Most mattress cleaning businesses already half-do that in a notebook or a shared inbox. The real fix is narrower: tag every enquiry back to the exact thing that produced it, whether that’s a specific Google ad, a Google Business Profile message, a WhatsApp tap, or an organic search for “mattress cleaning Leeds”, and then match that against what actually ends up in the diary as a booked job, not what ends up logged as a call. Most owners we talk to know their enquiry volume cold. Almost none of them know which source is quietly filling vans and which one is just filling the call log.
What has to be working before a tracking number means anything
Lead tracking only tells you the truth if the basics underneath it are solid. Get these wrong and you’ll spend hours building spreadsheets full of numbers that lie to you with total confidence.
-
A claimed and verified Google Business Profile with the name, address, and phone number matching exactly what’s on your website, your invoices, and any directory listing you’re on. Mismatched details confuse the local pack and confuse your tracking in equal measure.
-
A real booking record, even a shared Google Calendar will do, that you can line up against your enquiry log. If the diary and the call log live in two separate people’s heads, nothing downstream will add up.
-
A GA4 property on the website set up to record actual events, not just pageviews: form submits, click-to-call taps, WhatsApp clicks, quote-request button presses, each as their own event.
-
A clear idea of your actual customer segments, because mattress cleaning isn’t one audience. Landlords and letting agents clearing a flat between tenants. New parents worried about a nursery mattress. Allergy and eczema sufferers chasing dust mites. Pet owners after odour removal. Holiday let and Airbnb hosts turning a property round in a day. Caravan and static home owners before the season starts.
-
Ad and landing page copy that’s already compliant before you start tagging enquiries by concern. Under the CAP Code, claims about health conditions need to be substantiated. Promising that a clean “eliminates the allergens that cause asthma” or “cures eczema flare-ups” is the sort of line the ASA has upheld complaints against in other cleaning and home-services categories, and it’s the sort of line your office manager then has to quietly walk back on the phone, which kills the booking anyway.
Skip any one of these and the next section’s steps will still produce numbers. They just won’t mean what you think they mean.
Building a lead-tracking setup that tells you which enquiry becomes a booked clean
How-to: matching source to booking
- 1Set up dynamic number insertion with a call tracking provider so every visitor to your site sees a unique number swapped in depending on where they came from. That way a call logs against the exact landing page, campaign, or keyword that produced it, rather than arriving as an anonymous ring on your main line.
- 2Give WhatsApp its own tracked channel. Put a UTM-tagged click-to-chat link on the website and on your Google Business Profile, separate from your spoken phone number, so WhatsApp enquiries show up as their own line in your reporting instead of getting folded into "direct traffic".
- 3Build condition-specific landing pages rather than one generic "mattress cleaning" page: allergy and dust mite clean, end-of-tenancy clean, new baby and nursery clean, pet odour removal, caravan and static home cleans. Give each its own tracking number and UTM string so you can see which concern actually converts, not just which page gets clicks.
- 4Configure GA4 events for every meaningful action: form submission, click-to-call tap, WhatsApp click, quote-request button press. Lumping all of those into one blended "contact" event hides exactly the pattern you're trying to see.
- 5Tag every incoming enquiry, by phone, WhatsApp, GBP message, or web form, with the concern behind it: allergy, odour, stain, move-out, holiday let turnover, general refresh. This one field, more than any platform metric, tells you what you're actually selling and to whom.
- 6Cross-reference your enquiry log against your job diary every week, not once a quarter. Mark each enquiry won, lost, or still quoting. This gives you conversion rate by source, which matters far more than raw enquiry count by source.
- 7Keep a simple field for "price quoted" alongside "price booked". This is how you spot the pattern of enquiries that only ever wanted a ballpark figure and were never going to book, regardless of how fast you called them back.
- 8Record calls where you're legally able to, with the standard recorded-line announcement played up front, and listen to a sample every month. This usually catches more lost jobs than any tweak to an ad ever will, because you hear exactly where the conversation stalls.
- 9Check your Google Business Profile insights monthly for calls and message actions, and line the timing up against your diary. Visibility in the local pack is only worth something if it's actually turning into booked slots, not just profile views.
- 10Review your Google Ads search terms and negative keyword list monthly. Filter out "how to clean a mattress at home", "DIY mattress cleaning", and "mattress cleaning jobs" so paid budget stops funding people who were never going to hire anyone.

Where this tracking breaks: the mistakes that make the numbers lie
Most mattress cleaning businesses that try this end up with a dashboard full of numbers that look authoritative and mean nothing. The usual cause is one of a handful of mistakes.
The most common is a single static phone number printed everywhere: on the van, the website footer, every landing page, every leaflet. Every call then logs as “direct”, and you’ve got no way to tell whether it came from the van parked outside a job, a Google search, or a referral from a letting agent you quoted for six months ago. Dynamic number insertion solves this, but only if it’s actually applied to every page, not just the homepage.
The second is treating WhatsApp and Google Business Profile messages as an afterthought. These are often your fastest, warmest enquiries, someone who’s already decided they want a clean and is just checking availability, and if nobody’s logging them anywhere, your most responsive channel looks invisible in the reporting while slower channels take all the credit.
The third shows up on mobile, and it’s quieter than the other two. A landlord checking your end-of-tenancy page from their phone between viewings, or a new parent searching at 11pm with a baby on one arm, won’t wait around for a slow page. Pages that score poorly for Core Web Vitals, particularly Interaction to Next Paint, lose the tap before the call even connects. The visitor gives up, closes the tab, and calls the next result instead. If you’re genuinely unsure what’s happening after someone lands on your page, something like HeyLead Insights will show you exactly where people stall, scroll past the number, or abandon a form halfway through, rather than leaving you to guess from bounce rate alone.
The fourth is the ASA risk mentioned earlier, and it’s not just a compliance headache. An ad that oversells, “clinically proven to eliminate allergens that trigger asthma”, can pull in exactly the right concerned customer, but then your team has to soften that claim on the phone once they can’t actually back it up, and the trust drops before the booking ever happens. Stick to what you can demonstrate: visible stains removed, odour reduced, a proper deep clean of the surface and seams, and let the customer draw their own conclusions about allergy relief.
The fifth is comparing months like for like when the UK calendar won’t let you. Enquiries spike after a damp, cold winter when condensation and mould complaints peak, and again through the June to September student move-out window when letting agents are clearing dozens of properties at once. Treat every month’s enquiry total as equally meaningful and you’ll either panic over a quiet February or take credit for a busy July that had nothing to do with your last campaign change.
What mattress cleaning owners say about the phone that won’t stop ringing
“We had a notebook full of phone numbers and dates for years. It meant nothing until we started writing down what actually got booked against each one. That’s when we realised half our “busy week” calls were the same three letting agents asking for quotes they never signed off.”
Owner, two-van mattress cleaning business, West Midlands
“The WhatsApp messages were the ones we were slowest to answer, which turned out to be mad because they were also the ones most likely to book. Once we gave WhatsApp its own number and actually watched it, that pattern was obvious within a month.”
Office manager, allergy-focused cleaning service, East of England

FAQ
Do I need call tracking if most of my enquiries already come through WhatsApp? Yes, and arguably more so. WhatsApp enquiries feel easy to track because you can scroll back through them, but without a tagged, UTM-linked click-to-chat link you still won’t know whether that message came from a Google ad, your Google Business Profile, or someone who already had your number saved from a previous job.
Is it legal to record calls for quality and training purposes in the UK? You can, provided you make callers aware with a recorded announcement at the start of the call and handle the recordings in line with UK GDPR, which means a clear retention policy and a legitimate business reason for keeping them. Most call tracking providers build the announcement in automatically.
How long before the tracking data is actually trustworthy? Give it a full enquiry cycle, usually six to eight weeks, before drawing conclusions. Mattress cleaning enquiries can take a little while to convert, particularly from letting agents working to a move-out date, so matching source to booking too early will understate your best-performing channels.
Does Google Business Profile tracking replace proper lead tracking? No. GBP insights will tell you how many calls or messages your profile generated, but not whether any of them turned into a booked job. You still need to cross-reference that figure against your diary to know whether local pack visibility is actually worth the attention you’re giving it.
What should I tag first if I’ve never done any of this? Start with the concern behind each enquiry, not the channel. Knowing that allergy-driven enquiries convert at a different rate to end-of-tenancy enquiries will change your ad copy, your landing pages, and your pricing conversations faster than any channel-level number will.
Putting it to work
This week, pull the last sixty days of enquiries across your phone log, WhatsApp, and Google Business Profile messages, and sit down for an hour with your diary open alongside it. Mark each one booked, lost, or still quoting, and note the concern behind it, allergy, odour, move-out, new baby, whatever it was. You’ll likely find one source that looks busy but books badly, and one that looks quiet but converts well. That single hour usually tells a mattress cleaning owner more than a month of watching the phone.
If matching every enquiry back to a booked job feels like more ongoing admin than your team has hours for, that’s exactly the gap HeyLead fills: we set up and maintain the call tracking, UTM structure, and GA4 events so you can see which source is actually filling the diary, not just ringing the phone.
